6 Ways to Manage Your Time Better Every Day as a VA

If you are a Virtual Assistant who is working early mornings, late nights, or both trying to get it all done, it’s time to look at how you manage your time every day.

As a VA, we preach to our clients the importance of not working all hours of the day. But are we taking our own advice?

How is your VA business running? Are you finding you have enough time in your day to do your client work and your business admin?

Or are you struggling every day to get it all done?

If you constantly run to keep up, or get to the end of your day and your task list is not complete, it’s time to look at a few ways you can better manage your time.

Being in business doesn’t mean you have to work all hours – we tell our clients all the time that they shouldn’t, and yet we sometimes don’t take that advice to our own hearts.

Here are 6 tips to help you become more productive (or figure out where your time is going!):

Assess your To Do List

When you start your work day, look at what it is you need to get done. How does it look? Do you immediately know that this will be a very busy day – that you might not get it all done? That’s okay if that happens occasionally, but if it’s happening every day, you need to assess what you are putting into your calendar and how you can adjust it.  What you plan for the day needs to be manageable.

Work During Business Hours

When you are running a business, you have to pick and choose what to do – and your billable work should come before everything else. With no client revenue, your business will not survive. Working during business hours instead of doing the groceries or going to Johnny’s school is important. You don’t have to work 9-5 every day, but you do need to set business hours that work for you and work during them as much as possible.  Trying to work around family needs will lead to burnout faster than if you just hold certain periods of time for you to be working on business.

Block Out Your Schedule

Blocking out your schedule helps you to identify what you should be doing at what time. That doesn’t mean rigid and boring routines – but it does help you stay focused and let others know when you will get to things. Put start times and stop times in your calendar, so you know when it’s time to move on to the next task. Advise you clients what your turnaround time is for their projects. Block out personal time like meals and breaks – no eating at your desk! You will get more done, and still be able to do everything you want – business and personal.

Limit Distractions

One of the biggest issues with working from home is distractions. Sometimes it’s because there are others home with us during the day, and sometimes it’s just that no one else is watching us. We can do whatever we want! If you are not being as productive as you need to be, try switching off all distractions – notifications, social media, Netflix (!) – and see just how much you can get done in a short period of time. It’s really effective – trust me!

Get Support When You Need It

If you are working all hours of every day, look at why that is. What is taking up your time? If it is billable work, it may be time to hire a sub or two to lighten your load. It’s a great to build your business and bring in even more clients, when you get a couple of people to help you with the client work. When you are working alone, you will eventually max out the amount of work you can produce for clients. If you are underwater with bookkeeping or marketing tasks, consider getting help with those. Support is something we tell our clients is essential to grow their business, and the same is true for our own.

Use Checklists

Even if you think you know what you need to do, a checklist is an indispensable tool in our businesses. When you have a a repeatable task, set up a checklist for it so you don’t have to think about what to do next. You will free up very valuable brain space when you just need to consult a checklist to complete your tasks. And you can use a checklist when you bring in other support to help you.

When you work alone, no one is there to make sure you get everything done and don’t fall off track. You need to do it yourself.

By implementing simple things like scheduling, focus and checklists, you can help yourself get more done in a shorter period of time.

When you are starting your VA business, time management seems less important because you don’t have a full client load. As you get busier, you will need to manage many more tasks every day.

I always find myself dropping balls when I have less to do, not more. When I have lots of things to get done,  I manage my time much better.

Setting up good practices now is a good habit to get into, so when you get really busy you already have great habits!

3 Tips to Use Your Schedule to Get More Done Every Day

Why The Calendar Should Be a Virtual Assistant’s Best Friend

Being organized is a quality that a lot of Virtual Assistants bring to the table in their work.

Keeping client tasks organized and getting things done is even a common part of our service offerings.

But sometimes it’s not the way we run our own business.

Or, sometimes when we bring on a number of clients to work with at once, it becomes more difficult to make the decisions necessary to properly prioritize each client’s tasks and get things done.

Are you struggling with getting everything done in a day?

If so, I recommend using your calendar as much as possible.

Keeping a schedule makes all areas of your business better. It not only shows you what you need to get done, but it also helps you to manage your time around each thing.

Here are a few easy ways to use your calendar to get more done:

1. Schedule your business hours

Make sure that your clients and your family know when you are supposed to be working. Having regular business hours can really help everyone. For your family, it lets them know when not to disturb you, and for your clients, it tells them when they can expect to hear back from you. Business hours don’t have to be super long every day (you could have your office open just a few hours a day), but it helps communication with everyone around you, and it makes things run smoother for you.

2.  Schedule blocks of time for work

Use your calendar to block out your day. Jumping from task to task interrupts your brain’s signals too often. If you want to really focus on what you are doing, and become more efficient at it, schedule a block of time anywhere from 15 to 30 minutes to work on something specific. That may not sound like a lot of time, but when you are focused during that time you will see just how much more productive you can be. Short blocks also help you to move things around as necessary if you need to. Try it for a week!

3. Schedule your distractions

I know what you’re thinking – how can I schedule something I don’t even know about? I recently came across an awesome suggestion to deal with distractions – it’s called a Distractions List. When you are in the middle of a task, and something distracts you, simply write it down on a piece of paper or in a notebook that you keep beside your computer. Then, schedule time in your calendar to handle the items on that distractions list. If you find that you have a lot of things on your list, you might book in distraction time a few times a day – mid morning, midday and mid afternoon works. Cross the things off your distraction list when you have looked after them, and get back to work!

Bonus tip: When you are scheduling your time, be sure you have a start and end time, so that you know when you are supposed to STOP working on something. If you have ever gone down a research or social media ‘rabbit hole’, you’ll know what I mean. Set a stop time, and stop then. Assess whether you completed your task on time or if you need to adjust the schedule for future.

When you work by yourself like so many VAs do, managing your time is really important. Productivity is really essential to run a profitable business, to practice excellent time management every day. 

Don’t feel that you need to jump when a client (or a family member) needs something. Hold yourself to your schedule, and advise them when you can look after what they need. Put them on your distractions list!

And remember that short blocks of time are more manageable - instead of jamming something new into the middle of your day, see what you can move to another time slot.

Simply put, scheduling works to get more done. Try it for yourself!

How to Get Your Groove Back

computer workIt can be difficult to find that productive groove you once had. It happens when you’re dealing with burn out. It also occurs when you’re coming back from a vacation or time away from your business. So how do you find that productive groove? Where do you find the motivation and the enthusiasm to get back into the swing of things?

1. Choose Just One Small Thing and Focus on It – One of the reasons it can be tricky to get your groove back is the feeling of overwhelm. There may be a long list of tasks that need to be accomplished and looking at that list just makes you feel like going back to bed. Rather than trying to do everything, choose one task and focus on that task.

It may be something as simple as cleaning out your email box or as tricky as planning a new product launch. The act of focusing on one task makes everything more approachable. You’ll likely find that as you delve into the task you get your groove back. If not, then choose one task tomorrow and the next day and the next until you are feeling back to normal.

2. Set Aside A Little Time – One of the things that non-business owners don’t really understand is that when you’re self-employed and own your own business, you’re always at work. You wake up thinking about your business and you go to sleep thinking about it. It can be a little claustrophobic.

And if you’re coming back from time away from your business, you may resent the demands for your time. Instead of trying to dive back into the 24/7 mentality, simply dedicate an hour or two to working on your business. Spend the rest of the day living life and doing other things. To be honest, this is often the best way to run a business because it helps you live a more balanced life.

3. Stop Overthinking It – There’s a good possibility that you’re putting too much pressure on yourself to get back into fighting form. Rather than letting your thoughts work you into a frenzy, stop thinking about it and just do it. Seriously, sit down and start working. Perfection isn’t expected, production is. Release those limiting thoughts and get back to what you do well.

Getting your groove back is often setting the intention to put one foot in front of the other and to trust that you’ll get it back. Taking small steps and being kind to yourself is a good start.
